Reports to: Modern Trade Manager
Job Purpose: The Sales Administration role is responsible for supporting the sales team in day-to-day operations, ensuring smooth sales processes, accurate order handling, and efficient communication between internal teams, distributors, and customers. The position helps drive sales effectiveness through proper documentation, reporting, and coordination.
Key Responsibilities:
- Prepare and submit the Daily Sales Report by 9:30 a.m. for the previous day’s sales.
- Prepare and submit the Weekly Sales Report every Monday by 11:00 a.m.
- Prepare and submit the Monthly Sales Report by the 1st of each month before 12:00 p.m. for management review (both DMS and Manual).
- Update the SD Purchase Order (PO) status daily by 4:30 p.m. against the revenue plan.
- Process sales orders accurately within one working day, ensuring timely delivery coordination with the logistics team.
- Track delivery PO dates until stock receipt and payment completion.
- Maintain and regularly update customer, distributor, and pricing records in the system.
- Prepare SD and Salesman Targets (Monthly, Quarterly, and Yearly) for review and official sign-off.
- Provide administrative support to the sales team on SD contracts, documentation, and related tasks.
- Follow up on SD claims and incentive payments to ensure accuracy and completion within two working days.
- Monitor inventory levels and stock aging, and coordinate with the supply chain for stock allocation every Tuesday before 9:00 a.m.
- Ensure full compliance with company policies regarding discounts, promotions, and credit limits.
- Assist in organizing sales meetings, training sessions, and promotional activities on a monthly basis.
Requirements:
- Education: Bachelor’s degree in Business Administration, Marketing, Accounting, or a related field.
- Experience: Minimum 2–3 years of experience in sales administration, sales operations, or data reporting (preferably in FMCG or distribution).
- Technical Skills:
- Proficient in Microsoft Excel, PowerPoint, and Word.
- Experience with DMS, ERP, or CRM systems is an advantage.
- Analytical Skills: Strong attention to detail, accuracy in reporting, and ability to analyze sales data.
- Communication: Excellent written and verbal communication skills in English and Khmer.
- Interpersonal Skills: Strong teamwork, coordination, and time management abilities.
- Work Ethic: Proactive, organized, and able to meet tight deadlines with minimal supervision.
